2. Information We Collect
2.1 Account and Registration Information. When you create an account or request access, we collect your name, email address, phone number, company name, trade or industry, fleet size, current CRM platform, and any other information you voluntarily provide through our website forms or during onboarding.
2.2 Service and Operations Data. When you use ArriveSync, we collect appointment scheduling data, job details (customer name, address, scheduled time, assigned technician), notification delivery and receipt confirmations, technician check-in and check-out events, and CRM data synced through integrations you authorize (e.g., ServiceTitan, Housecall Pro, Jobber, FieldEdge).
2.3 GPS and Location Data. We collect real-time GPS location data from technician devices solely during active, dispatched service appointments. This data is used exclusively to calculate estimated times of arrival (ETAs) and trigger automated customer notifications. Location data is processed in real-time through Google Maps Platform APIs. We do not track technicians outside of dispatched appointments. Location data is not stored beyond the active appointment window except in aggregated, non-identifiable form for analytics purposes.
2.4 SMS and Communication Data. ArriveSync sends automated SMS notifications to your customers on your behalf via our carrier partner, Telnyx. We collect and retain message content, delivery timestamps, delivery status (sent, delivered, failed, undelivered), opt-out requests (STOP), help requests (HELP), and carrier error codes. This data is retained for compliance, service quality, and dispute resolution purposes.
2.5 Payment and Billing Information. Billing details including credit card information are processed securely through Stripe. We do not store full credit card numbers, CVVs, or complete payment credentials on our servers. We retain transaction records, subscription tier, usage counts, and invoice history.
2.6 Automatically Collected Information. When you visit our website or use our platform, we automatically collect IP address, browser type and version, operating system, device information, pages visited, referring URL, time spent on pages, click patterns, and interaction data through cookies and similar technologies.
2.7 Weather Data. ArriveSync's WeatherSync feature collects and processes real-time weather data from third-party weather APIs to provide weather-informed scheduling alerts and cascade delay notifications. This data is not personally identifiable.
3. How We Use Your Information
We use the information we collect to provide, maintain, and improve our notification services; calculate and communicate ETAs to your customers; send automated SMS, email, and push notifications on your behalf; process billing, subscriptions, and overage charges; monitor weather conditions and trigger cascade delay notifications; generate analytics, reports, and performance dashboards; send service-related communications and account updates; detect, investigate, and prevent fraud, abuse, or unauthorized access; comply with legal obligations, including TCPA, CAN-SPAM, and carrier requirements; respond to support requests and troubleshoot issues; and develop new features and improve existing functionality.
We do not sell your personal information to third parties. We do not use your data for purposes unrelated to providing and improving the ArriveSync service.
4. SMS Communications, TCPA Compliance, and 10DLC
4.1 Nature of Messages. ArriveSync sends automated Application-to-Person (A2P) SMS notifications to your customers on your behalf. These messages are transactional in nature and relate directly to scheduled service appointments. Message types include appointment confirmations, technician dispatch alerts, ETA updates, arrival notifications, on-site check-in confirmations, job completion notices, weather delay notifications, rescheduling alerts, and post-service review requests.
4.2 Sample Messages. The following are representative examples of messages sent through ArriveSync: "Your technician Mike is en route and approximately 15 minutes away. Reply STOP to opt out." — "Your scheduled service appointment for 2:00 PM today has been confirmed. Msg & data rates may apply. Reply STOP to cancel texts, HELP for help." — "Due to severe weather in your area, your appointment has been rescheduled to tomorrow at 10:00 AM. Reply STOP to opt out."
4.3 Carrier and 10DLC Registration. ArriveSync complies with 10DLC (10-Digit Long Code) registration requirements mandated by U.S. mobile carriers and administered by The Campaign Registry (TCR). Our brand and campaign use cases are registered with TCR through our carrier partner, Telnyx. All SMS traffic is sent through registered, compliant 10DLC numbers. As of February 3, 2025, all unregistered 10DLC A2P traffic is blocked by carriers.
4.4 Consent Requirements. By using ArriveSync, you represent and warrant that you have obtained all necessary consents from your customers to receive automated SMS messages related to their service appointments, in compliance with the Telephone Consumer Protection Act (TCPA), 47 U.S.C. § 227, all applicable FCC regulations, CTIA Messaging Principles and Best Practices, and all applicable state laws including but not limited to the Florida Telephone Solicitation Act (FTSA) and the California Consumer Privacy Act (CCPA). The FCC's one-to-one consent rule (effective January 27, 2026) requires that consent be specific to your business and cannot be shared across multiple entities. Consent to receive automated SMS notifications is not a condition of purchasing any goods or services from the subscribing business. Customers must be able to decline SMS notifications without affecting the delivery of their scheduled service.
4.5 Opt-Out Mechanisms. All SMS messages sent through ArriveSync include opt-out instructions. Recipients may reply STOP at any time to immediately cease receiving messages. Recipients may reply HELP at any time to receive support information. The standard HELP response is: "ArriveSync notifications on behalf of [Business Name]. For help, contact [business phone] or visit arrivesync.com. Reply STOP to cancel. Msg & data rates may apply." We honor all opt-out requests immediately and maintain suppression lists in compliance with TCPA and carrier requirements. Once a recipient opts out, no further messages will be sent to that number unless the recipient re-consents through a compliant opt-in process.
4.6 Message Frequency and Rates. Message frequency varies based on the number of service appointments and the notification touchpoints configured by the subscribing business. ArriveSync's 9-touchpoint notification pipeline may send up to 9 messages per appointment. Msg & data rates may apply. Msg freq varies. Carriers are not liable for delayed or undelivered messages.
4.7 Mobile Information Sharing. Your mobile information, including phone numbers and SMS opt-in data, will not be sold to or shared with third parties for promotional or marketing purposes. All categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your personal data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages.
4.8 Quiet Hours. ArriveSync does not send automated SMS messages before 8:00 AM or after 9:00 PM in the recipient's local time zone, in compliance with TCPA regulations. Emergency notifications related to active, same-day appointments may be exempt from quiet hours where permitted by law.
5. GPS and Location Data
Technician GPS data is collected only during active, dispatched service appointments and is used exclusively to calculate arrival ETAs and trigger automated customer notifications. Location data is processed in real-time via Google Maps Platform APIs (Geocoding, Distance Matrix, Directions). Real-time location data is not stored beyond the active appointment window. We do not track technicians outside of dispatched appointments. Aggregated, non-identifiable route and distance data may be retained for analytics and service optimization. Technicians may disable location sharing by logging out of the ArriveSync mobile application, though this will prevent ETA calculations for their appointments.
6. Data Sharing and Disclosure
We may share information with the following categories of third parties, solely for the purposes described:
Service Providers: Telnyx (SMS delivery and phone number management), Stripe (payment processing and subscription management), Google Maps Platform (geocoding, distance calculations, and ETA estimates), Vercel (application hosting and content delivery), Supabase (database and authentication services), and Formspree (form processing).
Authorized CRM Integrations: When you connect a third-party CRM (e.g., ServiceTitan, Housecall Pro, Jobber, FieldEdge), appointment and customer data is exchanged as necessary to provide notification services. You authorize this exchange when you enable the integration.
Legal Requirements: We may disclose information when required by law, subpoena, court order, or legal process; to protect our rights, property, or safety, or the rights, property, or safety of others; to investigate or prevent fraud or illegal activity; or in connection with a merger, acquisition, reorganization, or sale of assets.
We require all service providers to maintain confidentiality and use data only for the purposes we specify under written data processing agreements. We do not sell, rent, or trade personal information to any third party for their own marketing purposes.
7. Data Retention
We retain different categories of data for different periods based on operational necessity and legal requirements:
Account data: Retained for the duration of your active subscription plus 90 days after cancellation to allow for account recovery and data export.
Notification and delivery logs: Retained for 12 months for compliance, dispute resolution, and analytics.
SMS opt-out and consent records: Retained for a minimum of 5 years (10 years for Virginia residents) to comply with TCPA, carrier requirements, and state-specific regulations.
Billing and transaction records: Retained for 7 years as required by federal tax law.
GPS location data: Processed in real-time and not stored beyond the active appointment window. Aggregated analytics derived from location data may be retained indefinitely in non-identifiable form.
You may request deletion of your data at any time by contacting admin@arrivesync.com. Certain data may be retained as required by law even after a deletion request.

All payment processing is handled by Stripe, which is PCI DSS Level 1 certified. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security of your data.
10. Data Breach Notification
In the event of a data breach that compromises the security, confidentiality, or integrity of your personal information, we will notify affected individuals and applicable regulatory authorities in accordance with all applicable federal and state data breach notification laws. For Texas residents, notification will be provided no later than 60 days after discovery of the breach, as required by the Texas Identity Theft Enforcement and Protection Act. Notification will include a description of the incident, the types of information involved, the steps we are taking to address the breach, and recommendations for affected individuals to protect themselves.

Note: Virginia law requires retention of opt-out and consent records for a minimum of 10 years.
